Terms and Conditions

These Terms & Conditions apply to all retreat programs hosted by Stephanie Frost Yoga LLC, or SFY, or Heather Petit or Hyperspud Sports, Shannon Plunket, Kati Gesit or Geist Farm (hereafter referred to as “us,” or “we”). By booking and attending a retreat with SFY/ Hyperspud Sports/ Heather Petit, whether in-person or online, you agree to comply with and be bound by the following terms and conditions.

The terms “you” or “I” refer to the student, guest, user, or viewer of our website and/or services. The terms “retreat,” “program,” “workshop,” “classes,” or “services” refer to all aspects of our offerings, including but not limited to classes, accommodations, and activities.

    1. BOOKING & PAYMENT PROCEDURE (a) Your place is not confirmed until your deposit payment has been received.
      (b) 14 days before the retreat start date: 50% of the remaining balance is due. (c) 2 days before the retreat start date: the full remaining balance is due. (d) If the balance is not paid on time and no alternate arrangements have been made, we reserve the right to cancel your booking and retain your deposit and any amounts already paid. (e) If booking within 30 days of the retreat start date, the full amount is due upon booking. (f) We reserve the right to increase the price of the retreat prior to booking. All prices will be current on the WeTravel platform. (g) We reserve the right to offer discounts or special rates at any time. Once booked, your rate is locked in. (h) Group bookings imply that the person booking has authority for all named individuals. All terms apply equally to all group members. (i) Optional treatments, activities, or excursions arranged locally are at your own cost and risk. (j) This is an all-inclusive retreat. Refunds or pro-rating for missed nights or activities will not be granted. (k) All payments must be made in USD and received in full by SFY. Payment plans may be arranged upon request.

    2. RETREAT CHANGES & FLEXIBILITY (a) While we do our best to deliver everything as described, we reserve the right to make changes to retreat details, including but not limited to location, dates, accommodations, curriculum, schedule, and teaching staff. (b) Any changes will be communicated as early as possible, and we will always aim to maintain the integrity and intention of the retreat experience. (c) These types of changes do not constitute grounds for a refund.

    3. PAYMENT PLAN

      We’re happy to work with you to create a payment plan that supports your journey. Please inquire to discuss available options.

      • 14 days from program start: 50% of your total payment is due

      • 7 days from program start: final balance is due

      • Credit card payments incur a processing fee: 2% (Visa/MC/Discover)

    4. CANCELLATION POLICY & FORCE MAJEURE

      • Deposit is non-refundable and due upon registration

      • Cancel prior to 30 days: full refund minus deposit

      • Cancel 20 days prior: 50% refund minus deposit

      • Cancel within 15 days: no refund

      • No refunds for late arrival, early departure, or missed activities

  • (a) Cancellation must be made in writing by the original booking person and is effective the day we receive notice. (b) Deposits are non-refundable. (c) Cancellations made more than 30 days before retreat: refund of all payments minus deposit. (d) Cancellations made 20 days before retreat: 50% refund minus deposit. The remaining 50% is non-refundable. (e) Cancellations made within 15 days of retreat: no refund. (f) Once the retreat has started, no refunds or credits will be issued for any reason, including late arrival, early departure, or missed activities. (g) No refunds or pro-rating will be issued for partial participation. (h) If we fully cancel the retreat (excluding force majeure), you may transfer to a future retreat. (i) If cancellation is due to force majeure (war, civil unrest, pandemic, natural disaster, etc.), no refunds or compensation will be issued. (j) Refunds or compensation will not be given if you contract COVID or are unable to travel. (k) All guests are strongly advised to purchase comprehensive travel insurance that includes trip cancellation, health coverage, and personal belongings. (l) Bookings are non-transferable unless agreed upon in writing by SFY.

    TRAVEL ARRANGEMENTS (a) All travel to/from the retreat location is your responsibility. We are not liable for any travel disruptions or failures to meet travel goals.

     

    1. HEALTH, SAFETY & INSURANCE (a) It is your responsibility to inform us of any relevant health conditions and to consult with your physician before attending. (b) If you experience pain or discomfort during any activity, stop immediately and notify the teacher. (c) We may advise against participation or decline your booking if we feel it is not in the best interest of your wellbeing. (d) Our retreats may take place on uneven or rustic terrain. You accept this risk and agree to proceed with care. (e) Pregnant guests must inform us prior to booking. Guests 12–28 weeks pregnant must provide written medical clearance. (f) You must carry your own medical insurance. We accept no liability for illness, injury, death, or loss/damage of personal property. (g) We reserve the right to remove you from any activity or the retreat itself if we determine you are not physically, mentally, or emotionally fit to participate.

    2. DRUG & ALCOHOL POLICY (a) Practicing under the influence of drugs or alcohol is grounds for dismissal without refund. (b) Requesting substances from local staff or partners will also result in immediate dismissal without refund.

    3. CONDUCT & RIGHT TO REFUSE (a) We reserve the right to remove any guest from a session or retreat due to disruptive or inappropriate behavior, with no refund.

    4. PRIVACY (a) Your data will not be shared outside of SFY without your consent. (b) We may contact you with retreat details and future offerings. You may unsubscribe at any time.

    5. COMPLAINTS (a) Please inform a team member immediately with any concerns so we can address them. If unresolved, you may follow up in writing post-retreat. (b) We are not responsible for group dynamics, demographics, or individual behavior.

    6. PERSONAL PROPERTY (a) You are responsible for your belongings at all times. We are not liable for lost, stolen, or damaged items.

    7. PHOTOGRAPHY RELEASE (a) By participating in our retreats, you grant SFY permission to use photographs or video footage of you for promotional purposes, unless you notify us in writing before the retreat.

    8. LIABILITY WAIVER (a) By booking this retreat, you voluntarily assume all risks related to participation. SFY and its partners, agents, and teachers shall not be held liable for any injury, illness, loss, damage, or expenses incurred.

    9. INTELLECTUAL PROPERTY (a) All training and retreat materials are the intellectual property of Stephanie Frost Yoga (SFY). No portion of these materials may be copied, shared, reproduced, or distributed in any form without prior written consent.

    10. FINAL AGREEMENT (a) Submission of payment and/or participation in any retreat or service constitutes acceptance of these Terms & Conditions. These may be updated at any time, and it is your responsibility to review them prior to booking.
